Getting started

How to create your company account+

Navigate to /company/login and select "Create an account". Enter your work email and choose a password. You will receive a verification code by email — enter it to confirm your account. Once verified, you will be prompted to enter your company URL, which we use to automatically populate your company profile. You can invite team members immediately from the Settings → Team screen.

Posting your first job+

From your dashboard, click "New Job" in the top right. You can write the job description manually or let our AI generate one from a job title and key requirements. Set your screening criteria — the skills, experience level, and qualifications that define a qualified candidate. You can enable AI resume screening, AI call screening, and structured AI interviews independently for each role.

Understanding AI screening stages+

HiringScout supports three sequential screening layers. Resume screening scores and ranks every inbound application against your defined criteria. Call screening — optional — places an automated AI call to shortlisted candidates to verify information, assess communication, and ask role-specific questions. Interview screening — optional — conducts a structured video or voice interview evaluated by AI against your rubric. You control which layers are active for each role.

AI screening

How AI resume scoring works+

When a candidate applies, our AI reads their resume and compares it against your job criteria. It produces a score (0–100) broken into sub-scores: technical fit, experience match, educational alignment, and communication clarity. The AI also generates a brief written evaluation explaining the score. You can set a minimum score threshold to automatically advance or decline candidates — or review all scores manually.

Setting up AI call screening+

Enable call screening in your job settings. You can use our default question set — which covers experience verification, availability, salary expectations, and role-specific scenarios — or write your own questions. The AI call is placed within 24 hours of a candidate clearing resume screening. Candidates receive a text message with a link to schedule their call, or they can take it immediately. Calls are transcribed, evaluated, and scored against your rubric.

Configuring the AI interview+

The structured AI interview can be video or voice-only. You define the competencies you want to assess (e.g., problem-solving, communication, technical depth) and the AI generates questions tailored to your job and the candidate's background. Responses are evaluated on content, clarity, and depth. You can review the full transcript and AI commentary alongside the score before making advancement decisions.

Why did a candidate receive a low score?+

Every score comes with a written explanation. Click any candidate's profile to see the detailed evaluation breakdown. Common reasons for low scores include: resume does not demonstrate required experience for the role, communication in resume is unclear or contains significant errors, or skills listed do not align with the technical requirements you specified. You can always override an AI score by manually advancing a candidate — the AI is an input to your judgment, not a replacement for it.

Candidate management

Moving candidates through stages+

Candidates move through stages: Applied → Screened → Under Review → Shortlisted → Interviewing → Offered → Hired (or Declined at any stage). You can advance or decline candidates manually, or set automated advancement rules based on AI scores. All stage changes are logged with timestamps and attributed to the team member who made them.

Leaving team notes and feedback+

Each candidate profile has a notes panel where any team member with access to that role can leave structured or free-form feedback. Notes are timestamped and attributed. You can use structured scorecards — set up in Settings → Interview Templates — to standardize how feedback is recorded across your team.

Sending candidates for interview preparation+

When you advance a candidate to the interview stage, HiringScout can automatically generate and send them a personalized preparation guide. The guide outlines what to expect, what areas to prepare, and how the interview will be evaluated. This improves interview quality and candidate experience simultaneously.

Integrations

Available integrations+

HiringScout currently supports integrations with: LinkedIn (job posting and candidate sourcing), Discord (team notifications for new applications and candidate advances), GitHub (for technical roles — analyze candidate repositories), Twitter/X (job posting), Facebook and Instagram (job promotion). More integrations are in development. Reach out via the Contact page to request one.

Connecting LinkedIn+

Go to Settings → Integrations → LinkedIn. You will need to authorize HiringScout to post on behalf of your company page. Once connected, any job you publish in HiringScout can be automatically posted to LinkedIn. Our LinkedIn Automation feature can also run outbound sourcing campaigns to find and message passive candidates who match your role criteria.

Setting up Discord notifications+

In Settings → Integrations → Discord, click "Connect Discord" and select the server and channel where you want notifications sent. You can configure which events trigger a notification: new applications, candidates advancing to shortlist, candidates declining, and new interview completions. Each notification includes a direct link to the candidate's profile.

Billing & plans

What is included in each plan?+

Our plans are structured around the volume of AI screening your team needs. All paid plans include unlimited job postings, full candidate management, AI resume screening, and team collaboration features. Call screening and interview screening are available on Growth and Enterprise plans. Visit the Pricing page for a full feature comparison. If you are unsure which plan is right for your team, contact us — we will help you choose based on your hiring volume.

Upgrading or downgrading your plan+

Go to Settings → Billing → Change Plan. Upgrades take effect immediately — you will be charged a prorated amount for the remainder of your current billing cycle. Downgrades take effect at the end of your current billing period. You will not lose access to features until the downgrade takes effect.

Downloading invoices+

All invoices are available in Settings → Billing → Invoice History. Each invoice is available as a PDF and includes your company name, address, and a breakdown of charges. Invoices are also emailed to your billing contact automatically when a payment is processed.

Account & settings

Inviting team members+

Go to Settings → Team → Invite Member. Enter the email address and select a role: Admin (full access), Recruiter (can manage jobs and candidates), or Viewer (read-only access to reports). Invitees receive an email with a link to create their account. Pending invitations can be revoked from the same screen.

Resetting your password+

On the login page, click "Forgot password" and enter your email. You will receive a reset link within a few minutes. If you do not receive it, check your spam folder and ensure you are using the email address associated with your account. If you are still unable to access your account, reach out via the Contact page.

Deleting your account+

To delete your account, go to Settings → Account → Delete Account. This action is irreversible. All your data — jobs, candidate profiles, evaluations, and team records — will be permanently deleted within 30 days. We recommend exporting your data before proceeding. If you have an active subscription, it will be cancelled and you will not be charged further.
